Everything You Need to Know About Cancellations, Credits, and Refunds

At Nomadz Trips, we know that travel plans aren’t always set in stone. Life happens, and we believe in offering fair and flexible solutions wherever possible. Below you’ll find our guidelines for cancellations, trip credits, and what happens if unexpected situations arise.


Need to Cancel Your Trip?

Plans shifted? No worries—contact us as soon as you can so we can review your options together. If you cancel:

  • More than 60 Days Before Departure:

    You can change your trip date or destination with no penalty. Any amount you’ve paid will be transferred as a credit toward your new trip—whether it’s a group adventure or a private getaway.

  • Less than 60 Days Before Departure:

    Although we can’t issue refunds, we’ll gladly apply what you’ve paid toward another trip. Please note that for private trips, some additional costs may apply if we’ve already booked accommodations or activities that are non-refundable.

Important: Cancellations must be requested by email. We’re unable to process cancellations via phone, text, or social media, as written email requests allow us to document and handle changes accurately.


Cancellation Fees & Credit Options

All deposits and payments made toward your trip are non-refundable. However, we offer flexible credit options if you need to cancel.

Here’s how cancellation fees work:

  • 30 to 60 Days Before Departure:
    Half of the payments (after the deposit) can be applied as a future trip credit. The remaining 50% is retained as a cancellation fee.

  • Less than 30 Days Before Departure:
    Payments (after the deposit) are fully non-refundable and cannot be applied as credit.

If We Must Reschedule or Cancel Your Trip

Should a trip be disrupted due to major unforeseen circumstances—such as government restrictions, severe weather, or global emergencies—we will offer the following options:

  • Move your booking to a different date or destination at no extra cost.

  • Receive a travel credit equal to the full amount paid, which can be used for future trips.

We will always aim to notify travelers at least two months in advance if a trip might be impacted.


Why Travel Insurance Is Essential

We strongly recommend purchasing travel insurance to protect yourself from unforeseen expenses related to:

  • Medical emergencies

  • Trip cancellations

  • Lost or delayed luggage

This additional layer of protection can save you significant costs and give you peace of mind during your travels.


Missed Payments & Non-Payment Cancellations

If your payments aren’t completed by the due date, we will attempt to contact you for a resolution. If we don’t hear back and no payment arrangement is reached, your booking may be canceled without a refund. Nomadz Trips is not responsible for any lost bookings due to unpaid balances.


Frequently Asked Questions (FAQs)

Can I Transfer My Balance to Another Trip?
Yes! If you need to switch trips, just contact your trip coordinator at least 60 days before your departure date. We’ll assist with transferring your payments to a future trip.

What Happens If I Miss a Payment?
We’re happy to discuss payment plans if you’re facing financial difficulty. Please email us to arrange a solution. However, missing two or more consecutive payments without notice may result in removal from the trip.

Can I Cancel My Private Trip If Hotels or Activities Are Already Booked?
If we’ve already booked non-refundable services on your behalf, we’ll contact vendors to see if changes or credits are possible. However, some fees may apply depending on their policies. We’ll do our best to minimize costs and transfer your balance to a future trip when possible.

Who Is Responsible for Travel Visas and Documents?
Travelers are responsible for obtaining necessary visas, health certifications, and other entry documents required for their destination. Nomadz Trips is not responsible for disruptions caused by missing paperwork.

What If My Flight or Other Transportation Is Delayed or Canceled?
We are not responsible for costs associated with flight delays, cancellations, or other transportation issues. We highly recommend purchasing travel insurance that covers such disruptions.

How Long Are Trip Credits Valid?
Credits issued for canceled trips are valid for one year from the date of issue. You must use the credit and complete travel within that time period. If you need more time, contact us before your credit expires to discuss an extension.

Is There a Minimum Group Size Requirement for Nomadz Trips?
Some of our group trips require a minimum number of participants to operate. If this minimum isn’t met, the trip may be rescheduled or canceled. In that case, you’ll receive the option of a credit or full refund.
